Job Purpose
The overall purpose of this job is to serve as support for the Clay N Hixson Student Success Center. This position supports the Director of Diversity, Recruitment, and Student Success and serves as primary contact for entering students as referred by the Admissions Office.

Essential Functions
  • Maintain calendars and schedule appointments for Clay N. Hixson Center Director. Generate communications on their behalf to department chairs, faculty, students and others outside CoE, as needed. Provide support for various committee meetings as needed. Support includes room reservations, coordination with various attendees, food forms, and meeting notes.
  • Assist the Clay N. Hixson Director and Assistant Director with Hixson Center events related to recruitment and student success. Examples of events include summer camps, Showcase, Preview Day, Success Fair, Eminence awards, fueled to fly, etc. Duties include communicating with event participants and volunteers, scheduling and reserving space, submitting food forms and requests, and maintaining documentation and files.
  • Serve as the Hixson Center primary contact for entering students as referred by the Admissions Office, directing students to the appropriate department or advisor. Coordinates campus visits for the College of Engineering, working directly with the Admissions Office. Works closely with Engineering student organizations to provide information on University/College policies and procedures.
  • Serves as secretarial and clerical support for the Director of the Student Success Center. Directs routing and appropriate handling of incoming and outgoing documents. Maintains office filing systems including confidential and personnel files. Supports preparation of routine and non-routine reports and correspondence. Interacts with various offices on and off campus via email, written, and verbal correspondence. Functions as a representative of the Student Success Center as needed. Prepares student employment documentation and monitors Time Clock Plus. Works closely with the FA 6 with Eagle Buy Purchases, travel, etc.


Minimum Qualifications
High school diploma or equivalent with at least four years of recent experience in a clerical or administrative capacity or a bachelor’s degree from an accredited institution with at least two years of recent clerical or administrative experience. The ideal applicant will be creative and innovative. Excellent interpersonal & communication skills with ability to express ideas clearly and concisely. Ability to establish effective working relationships with students, faculty, staff, and external constituents with a variety of personalities. Ability to handle confidential files and information. Displays initiative in completing tasks without direct supervision.

Preferred Qualifications
Bachelor’s degree preferred. Experience with Microsoft Office Suite, Docusign, Banner, Qualtrics, Argos, Adobe Pro, Handshake.

Work Hours:

Salary: Commensurate with education and experience. Clerical & Support Pay Grade 7.
