Job Summary

Reporting to the Dean of Stempel College and serving as a member of the College's leadership team, the Senior Director, Administrative Services provides executive level support to the Dean and leadership team, oversees administrative and financial operations of the College, directs the day-to-day operations of the Office of the Dean, triages internal and external requests, and develops, implements, and refines processes, policies, and programs to ensure successful execution of the Dean's vision and attainment of College performance goals. Leads the college's international projects and initiatives, as directed by the Dean.
  • Provides executive level support to the Dean.
  • Mediates and resolves issues on the Dean's behalf.
  • Develops awareness of College activities and issues and keeps the Dean informed. Elevates and prioritizes issues for the Dean's attention and input.
  • Oversees overall administrative and financial operations of Stempel College.
  • Directs the day-to-day operations of the Office of the Dean.
  • Ensures seamless coordination of the Office of the Dean with other College units, Departments, and Schools including Student and Alumni Affairs, Dietetics and Nutrition, Public Health, and Social Work.
  • Cultivates an environment of professionalism, customer service, efficiency, responsiveness, and creative problem solving in the Office of the Dean and throughout the College.
  • Directly supervises Finance, Human Resources, Continuing Education, IT, Facilities, Administrative Services, and Event Coordination for the College. Provides leadership and directs the assigned areas of responsibility to ensure that established goals and objectives are communicated and attained. This includes hiring, training, and performance management.
  • Manages the College's financial planning process in collaboration with the Budget Director and leadership team to ensure consistency and alignment with the College's and University's strategic priorities.
  • Assists the Dean and leadership team in determining the College's short-and long-term performance objectives and metrics. Prepares and presents information for the Dean and leadership team. Leverages information management systems and resources throughout the College and University to better understand financial and strategic performance and facilitate decision-making.
  • Assists the Dean and leadership team with implementation of strategic initiatives to strengthen the College and improve the University's performance metrics.
  • Applies and/or implements policy related to fiscal and other activities. Applies State, University, College and other approved policies and procedures to the relevant areas of responsibility. Ensures compliance with applicable federal regulations.
  • Along with the Dean and the leadership team, develops and disseminates policies and procedures as needed.
  • Serves as the Dean's liaison to College leadership team including Associate Dean for Academic Affairs, Associate Dean for Graduate Studies, Associate Dean for Research, Strategic Advisor, Director of Student and Alumni Affairs, and the leadership of Dietetics and Nutrition, Public Health, and Social Work.
  • Serves as the Dean's liaison to FIU leadership including President's Office, Provost's Office, and Vice Presidents' offices. Triages requests from offices and ensures timely, high-quality follow up and completion.
  • Serves as the Dean's liaison between the Dean and other FIU Deans' offices, as well as the FIU External Relations and FIU Development personnel dedicated to Stempel College.
  • Works with the Dean's Executive Assistant to prioritize the Dean's time, resolve issues, develop agendas for internal and external meetings, and ensure follow up.
  • Attends meetings on behalf of the Dean as necessary.
  • Conducts College-related research, prepares presentations, writes reports, and compiles data as needed.
  • Communicates with the Dean's research group as needed.
  • Leads college's international initiatives as directed by the Dean, by directing the assignment of action items to senior administrators including monitoring the progress of projects, actions items and strategic initiatives throughout the college.
  • Works closely with the Dean and leadership to develop procedures for implementation of international programs and projects involving units within the college and across the University: assesses, analyzes, identifies needs; develops solutions; and evaluates outcomes.
  • Manages and oversees the newly created team of special projects and initiatives. Plans and implements activities, projects, and addresses administrative issues of highly confidential and critical nature.
  • Manages the negotiation, creation and execution of international MOU's.
  • Works closely with the Director of the Global Health Consortium to establish new international initiatives.
  • Translates communication and correspondence into Spanish, as needed for international marketing of continuing education programs, e-mails, meetings and other communications with Latin America and the Caribbean. Interacts with Non-English speakers.
  • Prepares and negotiates proposals with international partners for seminars, certificates, workshops and other continuing education programs and activities.
  • Manages auxiliary revenue budget generated from special initiatives and continuing education programs.
  • Conducts research on potential international initiatives, prepares and delivers presentations and completes reports for the college.
  • Travels internationally to negotiate and plan special projects as necessary.
  • Acts independently to determine methods and procedures on new assignments.
  • Supervise and manage the operations of marketing and communications for the college, including the day-to-day operations of the Senior Account Manager.
  • Support, facilitate and assist coordinate activities and projects initiated by the FIU Foundation's liaison to the college, related to donor relations, stewardship and constituent relationships. Serve as main point of contact in the college for various projects.
Minimum Qualifications

Bachelor's degree in an appropriate specialization and eight (8) years of experience or a Master's degree in an appropriate specialization and six (6) years of experience.

Desired Qualifications

Bilingual (Spanish/English): written and verbal competence to translate documents and to communicate with a Hispanic population.
